A front desk that answers at 2 a.m.
A 24/7 virtual front desk that books, reschedules and cancels appointments directly in your calendar, answers routine questions from your own approved information, and hands anything sensitive or unclear to your staff.
It never gives medical advice.
Try it in the window beside this text, or open the tab on the right edge of the screen. Patients can use either one, and both talk to the same assistant.

What it does today
- Appointments
- Books, reschedules and cancels in the provider's real Google Calendar. If a time is taken, it offers the nearest open slots over the next five business days. It re-checks the slot right before booking so two patients can't take the same time, and it only says "booked" once the calendar confirms. Monday to Friday, 8 to 5, never in the past.
- Providers
- Three providers and a testing room for lab, imaging and vascular work, each with their own calendar. Fourteen appointment types are matched to the right provider and length.
- Front-desk questions
- Answers from your own knowledge base: services, providers, insurance and payment, walk-ins, the adults-only policy and languages. It replies in English or Spanish, keeps answers short and asks one question at a time. Staff edit the knowledge base in a Sheet.
- Intake
- Collects name, phone, appointment type, preferred provider, preferred time and reason for the visit. The reason is stored in the patient's own words and never commented on.
- Handoff to staff
- Passes the conversation to your team when a patient asks for a person, or the question is outside the knowledge base: prices, insurance verification, referrals, refills, forms, complaints. Each handoff becomes a ticket marked normal or urgent, with an instant Telegram alert to staff.
- Safety limits
- Strictly administrative: no diagnosis, symptom advice, medication talk or test results. Chest pain or trouble breathing gets a call-911 reply and an urgent staff alert. A mention of self-harm gets 988 and an alert. It never asks for a Social Security number, card number or full insurance ID, and it hands off instead of guessing at details you haven't published.
- Staff view
- A Google Sheet holds every booking with its status, the handoff tickets, and a summary tab: booked, rescheduled, cancelled, open and urgent handoffs.

Placeholders and privacy
Provider schedules, slot lengths and the lunch gap are placeholders, and no prices are published. Real patient data would need a proper privacy and compliance review first: hosting, access controls, audit logs and agreements with each vendor involved.
